What We Collect
- Booking details: name, phone number, email address, party size, room, date, time, booking notes, payment status, and booking history.
- Payment data: Stripe handles card details. We store payment references, status, amounts, refunds, and ledger records needed to operate and reconcile bookings.
- Messages: feedback, booking changes, cancellation requests, and staff notes needed to support your booking.
- Website analytics: Umami gives us cookie-free anonymous site usage data. Google Analytics is only loaded if you agree to analytics cookies.
Why We Use It
- To confirm, manage, amend, or cancel bookings.
- To take payment, issue refunds, reconcile takings, and protect the business from fraud or accounting errors.
- To answer customer questions and improve the booking experience.
- To understand website performance and booking funnel issues, only where analytics is permitted.
Processors We Use
- Stripe for online payments and refunds.
- Supabase for database, admin authentication, and customer account data.
- Resend for email notifications.
- Twilio for SMS notifications when SMS is enabled.
- Google Analytics for website analytics after consent.
- Umami for cookie-free website analytics.
Retention
- We keep booking and payment records for as long as needed for customer service, accounting, tax, dispute handling, and business reporting.
- We currently do not have a fixed automatic deletion cycle. If you want us to review or delete personal data, contact us using the details below.
Your Rights
- You can ask to access, correct, or delete your personal data by emailing info@vipkaraokeclub.co.uk.
- We may need to verify that the request is really from you before sharing or deleting booking data.
- We aim to respond as soon as reasonably possible, normally within 30 days.
International Processing
- Some providers, including Stripe, Supabase, Resend, Twilio, and Google, may process data outside the UK. We use these providers to run bookings, payments, notifications, and analytics.
Cookies
- Essential site functions may use small local browser storage, for example your language choice.
- Google Analytics cookies are off by default and only load after you accept analytics.
